Transparency is key! If any of your activities are eligible for scholarships and at least one customer has clicked the "Check for scholarship" button, you’ll unlock access to the Scholarships Report. This report shows the real-time impact of the Guildara Scholarship Program on your business.

Here’s what you can track:

  • Scholarship applications received
  • How many were approved and used
  • Total registrations funded by scholarships
  • Number of participants sponsored
  • The financial impact of scholarships on your revenue

Glossary: Key terms in the Scholarships Report

Not sure what something means? Here are the essentials:

  • Registrations using scholarships: Total number of registrations fully or partially paid with scholarship funds, including canceled once.
  • Participants sponsored: Unique participants who joined your activities using a scholarship
  • Collected from scholarships: Scholarship-funded portion of your revenue — minus any amounts returned due to refunds. Pending payments are not included.
  • Received from scholarships*: Scholarship-funded portion of your total order revenue.
  • Scholarship applications: Number of times the "Check for scholarship" button was clicked on your activities.
  • Scholarship offered: Applications approved by our system. Curious why some aren’t approved? Learn more
  • Scholarship used: Scholarships that were used in an order — meaning the customer completed a registration using the scholarship that was granted to them.

Do you have a dedicated scholarship fund?

If your organization has its own scholarship fund — meaning funds you've raised or received from supporters, reserved exclusively for your families — you'll see an extra section in your report.

You’ll be able to track:

  • The total amount of your dedicated funds that have been used
  • The remaining balance available to support your families

If you're interested in offering more support, you can start your own dedicated scholarship fund. This is how you can get started.

*Why “Received from Scholarships” might differ from your organization’s monthly cap

Each organization offering activities through Guildara has a monthly scholarship cap. The default cap is $500, though it may vary depending on demand from families in need, based on application volume and denial patterns.

Your Scholarship Impact Report shows the scholarship money you receive each month, based on funded installments collected during that month.

However, scholarship quota usage reflects the total scholarship amount granted at the time of approval, even if payments are spread across multiple months.

For example, Ana receives a 50% scholarship for a $1,000 class paid in 5 installments.

  • The dashboard shows $100 in January, February, March, April, and May as each installment is collected.
  • However, the full $500 scholarship counts toward the monthly cap when it is approved.

This means the organization’s monthly cap (for example, $500) can be fully reached in January, even though the “Received from Scholarships” amount shown in January may only be $100.
