Getting started only takes a few steps.
1. Create your account. Sign up with your email and password. No subscription or credit card is required.
2. Set up your organization. Add your organization's name, logo, and basic business information.
3. Get approved. Our team typically reviews new organizations within 72 hours and will reach out if anything is missing. This review helps ensure families discover accurate and trusted organizations on Guildara.
To help speed up the approval process, complete your profile by adding an organization description and links to your website or social media pages, such as Facebook or Instagram. You can also publish your first activity before your organization is approved.
This allows our team to better understand the types of programs you offer and verify that they align with Guildara's policies and community standards, helping us complete your review more quickly.
4. Start accepting registrations. Once your organization is approved, you can begin accepting registrations through Guildara. If your activities are approved for scholarships, eligible families will also be able to apply for donor-funded scholarships during registration.
Yes. You can create your organization, publish activities, and start accepting registrations without paying anything upfront. No credit card is required to sign up.
When you begin collecting online payments, your organization will be on the Pay-as-you-go plan by default, where a 1% Guildara platform fee applies to each online transaction. Stripe payment processing fees also apply.
Every organization starts on Guildara's Pay-as-you-go plan by default:

Every organization starts on the Pay-as-you-go plan. As your registrations grow, a subscription may become more cost-effective than paying the 1% platform fee on every online payment. You can switch plans whenever it makes financial sense for your organization.

By default, Guildara initiates payoffs every Monday for payments collected during the previous seven days. Stripe then transfers those funds to your connected bank account. Learn more about how payoffs work on Guildara
Yes. If you'd like, you can add an optional checkout fee to help offset payment processing and platform costs. Whether you charge this fee, and how much you charge, is entirely up to your organization.
Yes. You can switch from Pay-as-you-go to a Subscription whenever you'd like from your Billing tab.
If your subscription is canceled, your organization will automatically return to the Pay-as-you-go plan.
Your data, activities, customers, and registrations remain exactly as they are. You can continue using Guildara just as you always have.
Yes. You can cancel your subscription at any time.
Your subscription will remain active until the end of your current billing period. After that, your organization will automatically move back to the Pay-as-you-go plan.

Subscriptions renew automatically at the end of each billing cycle using the payment method on file on the Billing tab.
If you subscribed during a promotional period, your subscription will renew at Guildara's standard subscription price unless the promotion's Terms & Conditions state otherwise. Please refer to the applicable promotion Terms & Conditions for complete details.
If a renewal payment cannot be processed, Guildara will notify you and automatically retry the payment. If payment is still unsuccessful after approximately seven days, your subscription will be canceled and your organization will automatically return to the Pay-as-you-go plan.
After you publish an activity, our team reviews it for scholarship eligibility.
Once approved, eligible families can apply for scholarships directly during registration. If a scholarship is awarded, the family pays a reduced price while your organization receives the full registration amount.
Scholarships are handled automatically, and your organization won't know which participants received financial assistance. By protecting participant privacy and removing bias, Guildara helps ensure every child has the same experience, regardless of their family's financial situation.

After you publish an activity, scholarship eligibility is typically reviewed within 72 hours. Once approved, eligible families can immediately begin applying for scholarships during registration.

Scholarships provided by The Village Project collaborating with Guildara are only available to kids registering for your activities through Guildara.
Many organizations start by listing just one or two activities on Guildara before moving the rest of their programs over. Yes, you may be managing two systems for a bit, but we make it easy to export your customer data. It’s a small trade-off for the chance to reach more families and offer scholarships that could significantly expand your reach and impact.
Over time, we’re confident you’ll find it easy (and rewarding!) to migrate all your activities to Guildara.
Scholarships are available only for participants under 18 who demonstrate financial need and register for activities approved under Guildara's promotion policy.
They will click the “Check for Scholarship” button on your listing on Guildara and complete a short application form (called the Household Statement). They'll be asked about:

👉 Household income
This shouldn’t take more than 5 minutes to complete. Our system will instantly review their application and show whether it’s approved or denied. If approved, the scholarship will appear as a discount and they’ll see the final price before deciding to register.

Eligible organizations may also qualify for additional benefits, including increased marketing visibility, a revenue guarantee, and the opportunity to help shape future product updates.

Organizations that purchase an annual subscription between September 1 and October 31, 2026 pay $499 for their first year of the annual subscription.
After the first year, the subscription renews to the standard annual fee stated in the subscription terms on Guildara's Terms & Conditions
If an eligible Founding Provider has received less than $500 in scholarship-funded registration revenue through Guildara's collaboration with The Village Project by September 1, 2027, Guildara will pay the difference.
